01Orientation

Create and Edit use the same configuration

Both paths use the same core configuration. The main difference is how you enter and leave the flow.

Create New Job

Add a job description, review the generated setup, configure the interview and application form, and complete the flow to publish the job.

Edit Job

Open an existing job and update any of its configuration sections. Select Save to apply your changes.

The tabs shown in the configuration flow are:

  • Resume Screening, when resume screening is enabled
  • Interview Screening
  • Job Description
  • Application Form
  • Settings, when editing an existing job

The order differs slightly between Create and Edit. During creation, Fabric starts with screening and interview setup before moving to the full job description and application form. During editing, Job Description appears first and Settings is also available.

Note

Some options depend on your workspace configuration, permissions, and whether resume screening or interviewing is enabled for the job.

02Step 1

Open Create New Job

From the Jobs page, select Create New Job. The window asks you to add a job description. Choose one of the available methods.

Upload

Upload an existing job description file.

  • Supported formats: PDF, DOC, and DOCX
  • Maximum file size: 5 MB
  • Only one file can be uploaded at a time
  • Use Re-upload File if you need to replace the selected document

Fabric reads the document and uses it to prepare the initial job configuration. You should still review every generated section before completing the job.

Paste/Write

Use Paste/Write when the job description is already in text form, or when you want to write it directly in Fabric. Both fields are required with this option.

Job Title

The candidate-facing name of the role.

Job Description

The source text Fabric uses to prepare job details, resume-screening criteria, and interview content.

03Step 2

Choose whether to allow resume screening

Use Allow Resume Screening to decide whether Fabric should shortlist candidates based on their resumes.

  • When selected, the job configuration includes the Resume Screening tab.
  • When not selected, the creation flow starts with Interview Screening instead.

Select Continue. Fabric processes the job description and prepares the configuration for review.

04Step 3

Work through the configuration tabs

Fabric now opens the configuration it prepared from your job description. Each tab has its own reference page. Review every section rather than accepting the generated setup as-is.

05Step 4

Complete and publish the job

Use Back and Next to move between the creation tabs. Review every section before completing the Application Form.

When you continue from the final creation step, Fabric saves the configuration, publishes the job, and opens the new job page.

Edit an existing job

Use Edit when the role changes or when you need to refine screening, interview, or candidate-facing settings. Unlike Create, Edit lets you open tabs directly, so you do not have to repeat the complete sequence.

01Getting in

Open the Edit flow

  1. Open the job from the Jobs page.
  2. Open the job's actions menu and select Edit.
  3. Select the tab you want to update: Job Description, Resume Screening (when enabled), Interview Screening, Application Form, or Settings.
  4. Make the required changes.
  5. Select Save.
Unsaved

If you close the flow with unsaved changes, Fabric asks whether you want to save before closing. Choose Close without saving only when you want to discard those changes.

What changes affect

When editing a published job, review changes carefully.

  • Changes to Job Description affect the information candidates see and the role context Fabric uses.
  • Changes to Competencies, Work Experience, Education, Red Flags, screening instructions, or the Resume Skill Score Cutoff affect resume-screening decisions.
  • Changes to interview formats, personas, questions, weightage, instructions, or the Interview Cutoff affect future interview experiences and evaluations.
  • Changes to the Application Form affect the information requested from future applicants and may affect eligibility rules.
  • Changes to Settings can pause applications or interviews, change candidate communications, or change who can access the job.
Careful

Review the full candidate journey after making substantial changes, especially when updating a job that is already receiving applications.

GuideJob Dashboard

Navigating the Job Dashboard

The Job Dashboard opens when you select a job from the Jobs page. It brings the candidate funnel, candidate list, filters, and day-to-day management actions into one place.

Note

The controls you see can depend on the job configuration, your role and access level, and whether AI interviews are enabled for the job.

01Getting in

Open the Job Dashboard

  1. Open the Jobs page.
  2. Find the job you want to manage.
  3. Click the job card.

The breadcrumb at the top shows Jobs followed by the current job name, helping you confirm that you are working in the right candidate pool. The dashboard is organized into four working areas:

Controls such as Edit Job, Bulk Upload, and Test AI Interview.

Funnel tiles

Headline counts showing progress through screening and interviews.

Candidate discovery

Quick filters, date filtering, Columns, Filters, Export, and search.

The detailed list where you review candidates, open reports, update panel stages, and select candidates for bulk actions.

02Funnel

Understand the candidate funnel

The tiles near the top summarize the job's candidate funnel. Each shows the number of candidates who have reached or cleared a particular point. The exact set can vary with the job's screening and interview configuration.

Resume & Eligibility ClearedCandidates who passed eligibility and also cleared resume screening: the pre-interview pool when both checks are part of the job's flow.
AI Interviews ConductedCandidates who completed their AI interview.
AI Interviews ClearedCandidates whose AI interview score meets or exceeds the interview cutoff.

Read them in order: comparing adjacent tiles shows how many candidates made it through each configured step. Open the Candidate Report and review the supporting evidence before acting on any count.

Across jobs Analytics metric cards Related period metrics, credits, and average interview duration across one job or several. Period metrics are not necessarily cohort conversion.
03Actions

Use the job-level actions

The controls at the top-right of the dashboard apply to the job or its candidate pool.

Edit JobOpens the current job configuration. See Edit an existing job for the tabs and what each change affects.
Bulk UploadAdds candidates through resumes or a CSV file. See Upload candidates in bulk. For an incomplete job, Fabric may ask you to complete the required job fields first.
Test AI InterviewLets you experience the configured interview before sending candidates through it. Use it to check the interview flow, recruiter persona, question sequence, and candidate experience after changing the setup.
Copy Job Application LinkCopies the job's application link so you can share it through an approved sourcing or communication channel.
Duplicate JobCreates a copy of the job configuration, useful when a new opening is similar to an existing role. Available only to supported roles, such as administrators or managers.
Delete JobRequests deletion after confirmation. Availability depends on access. Review the job and its candidate pool, and confirm your organization's retention and recovery policy before proceeding.

The last three sit in the three-dot More options menu. Available items depend on your permissions.

04Bulk Upload

Upload candidates in bulk

Bulk Upload gives you two ways to add candidates: upload PDF, DOC, or DOCX resume files (or a ZIP containing them), or upload a CSV file containing candidate details.

Option 1: Upload candidate resumes

Use this option when resumes are your primary source of candidate information.

  1. Click Bulk Upload.
  2. In Upload Candidate Resume, click Upload candidate resume or drag a file into the upload area.
  3. Upload one PDF, DOC, or DOCX resume, or one ZIP file containing multiple resumes.
  4. Wait for Fabric to accept the upload and begin processing.
  5. Click Got it! after the upload confirmation appears.
Limits
  • Accepted single-resume formats: .pdf, .doc, and .docx.
  • For multiple resumes, put them in one folder, create a ZIP file, and upload the ZIP.
  • Maximum allowed size: 50 MB.
  • Upload one file or ZIP at a time.

Option 2: Upload candidate details using CSV

Use a CSV file when you have structured candidate data and may not have a resume for every candidate.

  1. Click Bulk Upload.
  2. In Upload CSV with candidate details, click Download template.
  3. Open the template and add candidate information without changing the expected column names.
  4. Include the required fields name and email, plus any relevant optional fields.
  5. Save the file as CSV.
  6. Click Upload .csv file or drag the CSV into the upload area.
  7. Review any validation results and correct invalid rows if required.

File type: CSV only. Maximum allowed size: 10 MB. Use the downloadable template to preserve the expected structure.

Monitor processing

The lower part of the Bulk Upload window keeps a history of uploads, showing Type, File Name, Total Candidates, Successful, Unsuccessful, Processing Status, and Created At.

Select an upload-history row to review its processing result. While processing is underway, candidates can begin appearing on the main dashboard. Detailed results become available when processing finishes.

Tip

Before a large upload, confirm that the ZIP contains only the intended candidate files. For CSV uploads, use the template and validate every required field.

05Discovery

Find the right candidates

Quick-filter pills

Quick-filter pills apply frequently used candidate criteria with one click. Click a pill to turn it on; click it again to remove that criterion.

No Cheating DetectedDespite its label, this product filter includes results marked No or Maybe and excludes only Yes. Do not treat the filtered group as cleared: every Maybe result requires human review.
Resume & Eligibility ClearedCandidates who passed both resume screening and eligibility, giving a ready-to-review pre-interview shortlist.
AI Interviews ConductedCandidates with a completed AI interview, when you want to review reports rather than candidates who have not yet interviewed.
AI Interviews ClearedCandidates who met or exceeded the configured cutoff. Open each report to review the evidence behind the score.
Immediate JoinersCandidates with a notice period of one week or less. Useful when the role has an urgent joining timeline.
Candidates Within BudgetCandidates whose expected compensation is within the job's configured budget.

When filters or sorting are active, click Clear Filters and Sorting to reset the table. This clears the active quick filters, table filters, and sorting. The application-date range has its own clear control.

Application date range

The date-range control filters candidates by when their job application was created. Click the date field, choose a start and end date, and review the filtered list. Dates are displayed in DD/MM/YYYY format.

Shortcuts are available for Yesterday, Last Week, Last Month, and Current Month. Use Clear date range in the date field to return to applications from all dates.

Tip

Date filtering works alongside quick filters and table filters. For example, combine Current Month with AI Interviews Conducted to review this month's completed interviews.

Customize the table with Columns

Use Columns to keep the table focused on the fields that matter for your current task. Click Columns in the table toolbar, turn a column on to show it or off to hide it, then close the panel. The table updates immediately.

Your selected column view is retained for that job in the same browser, along with filters and sorting. This makes it easy to return to a familiar working view.

Important

Hiding a column changes only the table view. It does not remove or change candidate information.

Build detailed filters

Use Filters when the quick-filter pills are not specific enough. Select Filters, choose a column, choose the comparison that fits it (equals, contains, is greater than, or is less than), and enter the value. Add another condition when you need to narrow the list further.

  • Filter AI Interview Score to review candidates above a chosen score.
  • Filter Panel Interview Stage for candidates marked R1 Scheduled.
  • Filter Preferred Location for a hiring location.
  • Filter Added via to review a particular sourcing route.
  • Filter Notice Period In Weeks to find candidates who can join within a chosen timeframe.

Active filters can work together with quick-filter pills and the application-date range.

The candidate-list columns

The visible set depends on your Columns selection and product configuration.

A dash generally means the value is unavailable, not applicable, or has not yet been produced.

Opening a row Open a Candidate Report Click a candidate row to open their report in a side panel. The selection checkbox is separate from opening the row.
07Bulk

Select candidates and apply bulk actions

The Bulk Options button appears only after you select at least one candidate.

  1. Use filters, search, sorting, and the date range to create the intended candidate group.
  2. Select the checkbox beside each intended candidate. If you use the header checkbox, confirm its displayed selection scope and count before continuing.
  3. Confirm the selected count.
  4. Click Bulk Options.
  5. Choose an action, complete any required field, and review the confirmation before applying it.
Check

Selections can remain active after filters change. Before applying an action, verify the selected count and intended candidates. If the selection is unclear, clear it and select the group again.

Common bulk actions

Send Template EmailSends an email based on a configured template. Use it for consistent updates, reminders, next steps, or other approved candidate communication. Always check recipient count, template variables, subject, and message before sending.
Re-evaluate ResumeRuns resume screening again. Use after a meaningful change to the job's resume-screening criteria, or when an evaluation needs refreshing. Processing can take time, so updated results may not appear immediately.
Change StageUpdates Panel Interview Stage for every selected candidate. Available stages depend on the workspace configuration and can include scheduled rounds, Shortlisted, On Hold, Rejected, Offered, Joined, and assignment stages.
Allow candidates to take AI interviewAllows eligible selected candidates to access the AI interview, optionally sending them an email. Candidates already allowed or with completed interviews are skipped. Appears only when supported by the job's interview configuration.
Re-evaluate EligibilityRechecks the job's eligibility criteria. Use after changing eligibility-related requirements or correcting candidate information that affects eligibility.
Mark Resume Cleared/RejectedManually updates the resume-screening outcome, replacing the displayed status. Use overrides according to your organization's hiring process and document the reason where appropriate.
Mark Eligibility Cleared/RejectedManually updates the eligibility outcome. Use when a recruiter has verified information that changes it.
Reset Interview Link ExpiryReactivates expired interview links. Use when approved candidates need another opportunity to access an expired link. Send any communication separately through an approved template or channel.
DeleteRequests deletion of the selected applications after confirmation. Treat this as destructive: double-check filters, selections, the selected count, and your organization's retention policy before proceeding.

A bulk operation can succeed for some candidates and fail for others. When this happens, Fabric shows the failed candidates and the associated errors. Review the list and retry only the candidates for whom retrying is appropriate.

  • Use extra care with manual overrides, candidate emails, and deletion.

Frequently asked questions

Why can't I see Bulk Options?

Bulk Options appears only after at least one candidate checkbox is selected.

Why is a candidate missing from a filtered table?

Check the quick-filter pills, table filters, date range, search text, and sorting. Click Clear Filters and Sorting, clear the date range separately, and remove search text if you need to return to the full list.

Why do my table columns look different from another recruiter's?

Each user can customize the table with Columns. The saved view can also differ by job and browser.

Why don't I see every funnel tile?

The tiles depend on the job's resume, eligibility, and interview configuration. Fabric shows the metrics relevant to that flow.

Can I update a candidate's panel stage without using Bulk Options?

Yes. Use the Panel Interview Stage dropdown in an individual candidate row. Use Bulk Options → Change Stage when the same stage should be applied to several candidates.

Why are some candidates skipped when I allow AI interviews in bulk?

Candidates are skipped when they were already allowed to interview or have already completed the interview. The confirmation window shows how many selected candidates are eligible.

When should I re-evaluate instead of manually overriding a result?

Use Re-evaluate Resume or Re-evaluate Eligibility when the job criteria or candidate information changed and you want Fabric to recalculate the result. Use a manual Cleared/Rejected override when an authorized recruiter has made a reviewed exception or correction under your organization's process.

Evaluate a candidate using the Candidate Report

The Candidate Report brings together the information recruiters and hiring teams need to evaluate one candidate: application details, resume analysis, AI interview evidence, communication analysis, recordings, transcripts, scores, notes, and the candidate's communication history.

Important

Scores and AI-generated analysis are decision-support signals, not a replacement for recruiter judgment. Review the underlying resume, answers, recording, transcript, and role requirements before changing a candidate's status.

01Getting in

Open a Candidate Report

  1. Open the relevant job in Fabric.
  2. Find the candidate in the job's candidate list or pipeline.
  3. Select the candidate to open their report.

The report opens with a header containing the candidate's identity, summary information, scores, and actions; a navigation panel for Candidate Details, Resume, Interview, and Communication History; and the selected page's detailed evidence.

Note

The information shown depends on the job configuration and the candidate's progress. Interview analysis appears only after an interview has been completed and its report has been generated. Transcript Insights appears only when it was configured for the job and results are available.

02Header

The report header

The header remains your quick-reference area while reviewing the report.

Identity and links

The header can display the candidate's name and profile image or initials, Experience, Notice Period, Expected CTC (cost to company), and links found in the resume such as LinkedIn, GitHub, LeetCode, or Codeforces. It can also show relevant application and interview dates.

Use it to confirm that you are reviewing the right candidate and to keep important availability and compensation information visible while moving between report pages.

Copy Interview Link and Copy Application Link copy candidate-specific links for use when an authorized recruiter needs to resend one through an approved channel.

Score and status pills

SignalWhat it means
Eligibility Criteria Not Met The candidate did not meet one or more configured eligibility conditions. Treat this as a prompt to verify the submitted application answers. If the information is incorrect or an exception has been approved, an authorized recruiter can override the result.
Resume Score Shown out of 10, reflecting the job's configured resume-screening criteria. Most useful as a summary. Use the Resume page to inspect the evidence behind it. While Fabric is processing, the pill can show Evaluating or Reevaluating.
Interview Score Shown out of 10 after an interview has been evaluated. Use it as an entry point, then review Skills Analysis, Interview Analysis, Communication Skills, and Question-by-Question Feedback before deciding.
Cheating Not Run, In Progress, No, Maybe, or Yes. This is a review signal, not a hiring conclusion. Open the Interview Recording page and inspect the evidence before confirming or clearing it.

Hiring stage and sharing

The stage dropdown records the candidate's current hiring outcome or next step. Available stages depend on the workspace configuration and can include scheduled rounds, Shortlisted, On Hold, Rejected, Offered, Joined, and assignment stages.

Update the stage only after reviewing the relevant evidence. The stage is an operational decision made by the hiring team; it is not automatically determined by a score.

Share Report creates a report link you can copy. It provides view-only access and does not allow recipients to edit the report.

Before sharing

Confirm the report link's current access, expiry, and revocation behavior before sharing it. Send it only to authorized reviewers and follow your organization's candidate-data and privacy policies.

03Actions

Header actions menu

Open the three-dot menu for additional report and application actions. The options shown vary with your permissions, the job configuration, and the candidate's current state.

Edit Job ApplicationCorrects or updates submitted details. Use carefully: edited information may affect how other reviewers interpret eligibility, compensation, notice period, or responses.
Download PDF ReportCreates a portable report. Choose whether to include the interview recording link and the cheating indication. Include only the sensitive sections the recipient needs.
Allow to Retake InterviewResets the attempt so the candidate can interview again. A retake can replace the evidence reviewers rely on, so document the reason in Notes.
Re-evaluate InterviewRequests a fresh analysis of the completed interview. Not the same as a retake. It reprocesses the existing interview rather than asking the candidate to interview again.
Copy Resume LinkCopies a direct link to the resume. Share it only with authorized reviewers.
Mark Application as Seen / Not SeenManages the seen state for inbox-style triage. Does not change the candidate's evaluation result.
Mark as Cheating / Not CheatingConfirms or clears the cheating state after examining the evidence. Do not use based on the summary pill alone.
Run Cheating DetectionManually requests analysis when detection was not run automatically.
Allow Candidate To Take InterviewFor a resume-only job, allows an exception for this candidate to take an AI interview.
Reset Interview Link ExpiryRefreshes the interview-link window. Does not retake or re-evaluate a completed interview.
Mark Eligibility / Interview / Resume Cleared or FailedOverrides a screening outcome. Verify the evidence and record the business reason for the exception first.

Select Candidate Details for the application-level facts that frame the rest of the evaluation.

Eligibility banner

Shown when configured conditions were not met. An authorized recruiter can select Mark Eligibility Criteria as Cleared after verifying the answers.

Contact Information

Email and phone number. Recruiters with access can edit these. Use them for legitimate candidate communication and keep corrections factual.

Employment Details

Current and Expected Salary, Experience, Preferred Location, Serving Notice, Notice Period, and Last Working Day.

Answers to custom questions

Responses to the questions configured in the application form: text, a selected option, a file, or a video response.

Use Employment Details to assess practical alignment with the role's compensation, experience, location, and joining requirements. Separate a genuine constraint from a preference, and avoid treating missing information as a negative signal without clarification.

Notes

The Notes area supports internal reviewer context. Useful notes include evidence that needs follow-up, why a screening result was overridden, clarification received from the candidate, agreed interview accommodations, the reason for a retake, and the hiring team's decision rationale.

Add unsupported claims, sensitive personal information unrelated to hiring, or comments that would be inappropriate in a formal hiring record.

Resume

Select Resume to review both the screening analysis and the resume's parsed content. When the resume did not clear the configured threshold, a Resume didn't pass Screening Criteria banner appears; authorized recruiters can select Mark Resume as Cleared to make a deliberate exception. Before overriding, inspect the score, analysis, work history, and the job's screening criteria.

Resume Analysis

Resume Analysis summarizes the resume against the role, displaying Strengths and Weaknesses, or an overall explanation when separate strengths and weaknesses are unavailable.

Use the analysis to identify evidence worth validating, not as a substitute for reading the underlying history. Check whether each statement is supported by the candidate's resume and is relevant to the current role.

Resume Skills Analysis

A radar or single-attribute chart for the job attributes evaluated during resume screening. Each visible attribute is scored out of 10, and hovering over an attribute shows its score and reasoning when available.

Look for the pattern across role-relevant attributes, then confirm it against Work Experience, Projects, and the original resume. A high chart score without supporting evidence should be investigated, and a lower score may warrant human review when the resume uses unusual terminology.

Interview

Select Interview to review the candidate's AI interview. The page can contain three tabs (Interview Recording, Interview Report, and Transcript Insights), depending on the interview's status and the job's configuration.

States before a report exists

Interview Recording

Use Interview Recording to validate the analysis against the candidate's actual interview. Depending on modality and available files, the page can show audio or video playback, the candidate's Webcam recording, the Screen Recording, a side-by-side view, playback controls and a seek bar, question markers on the timeline, and download options.

Question markers connect moments in the recording to the relevant question. Selecting a timestamp in the transcript or question feedback seeks to that point when supported. Other markers can identify moments that need review, such as tab changes.

Select Transcript beside the recording to read the conversation. Use it to locate a specific claim quickly, check whether the candidate answered the question asked, distinguish poor audio from a weak answer, and capture exact evidence for a debrief.

Note

Tone, pauses, and non-verbal context may be lost in text, so return to the recording before making a judgment that depends on delivery.

Question-by-Question Feedback

For each question the report can show the question number, text, and type; a score out of 10; a timestamp; answer analysis or feedback; Answer Score; and candidate notepad history when available.

Logistic questions are not scored. They are marked with L so recruiters can review the response without treating it as a performance score.

  2. Does the feedback match what they actually said or demonstrated?
  3. Is the question central to a required role competency or only supplementary?
  4. Does the score align with the configured evaluation standard?
  5. Is there contradictory evidence elsewhere in the interview or resume?

Use the individual answer evidence to explain the overall score rather than relying on the number alone.

Cheating-detection review

When detection is available, the page can show Cheating Detection Not Run, Needs Review, or Cheating Detected, along with the trigger categories, timestamped evidence, questions flagged for potential plagiarism, visual or behavioral anomalies, and Cheating / Not Cheating reviewer controls.

Required

A detection result is not proof by itself. Before confirming it:

  1. inspect the cited timestamps;
  2. watch the relevant webcam and screen recording;
  3. read the transcript and question feedback;
  4. consider technical or accessibility explanations;
  5. follow your organization's review and escalation policy.

Interview Report

Use Interview Report for the analyzed view of the completed interview. If one or more analyses are missing, an Incomplete Report banner appears. Select Re-generate Report before relying on it.

Transcript Insights

Transcript Insights appears when custom transcript analysis was configured for the interview and results are available. It shows the configured analysis or task description and the resulting structured insight.

Use it to answer an evaluation question that is specific to your hiring process, for example extracting evidence related to a domain, behavior, or customer-defined rubric. Because the structure depends on what was configured, interpret it together with the original interview evidence. It supplements, rather than replaces, Interview Report and Question-by-Question Feedback.

Communication History

A timeline of candidate communications sent through Fabric. Each event can show the communication or template name, whether it was sent by email or WhatsApp, the date and time, whether sending succeeded, and an error message when it failed.

Use the timeline to confirm whether a message was sent, avoid duplicate reminders, investigate why a candidate may not have progressed, and identify failed messages that need another approved contact method. This is the place to look when a candidate says they did not receive something; Analytics → Notifications covers the same records across many candidates for reporting.

Not a signal

Communication History is operational context, not a candidate-quality signal. Do not treat a delivery failure or slow response as evidence about role suitability without checking the circumstances.

08Workflow

A recommended evaluation workflow

The report is most useful when reviewers follow a consistent evidence order.

  1. Confirm the candidate and application context. In the header and Candidate Details, confirm identity, review experience, notice period, expected compensation, and location, inspect eligibility status and custom-question answers, and note missing or inconsistent information.
  2. Review the resume evidence. Read Resume Analysis, inspect Resume Skills Analysis and its reasoning, and verify the analysis against Work Experience, Projects, and the resume itself.
  3. Review the interview summary. Note the overall Interview Score, inspect the pattern in Skills Analysis, read the strengths and weaknesses, review communication analysis in the context of the role, and check whether the report is incomplete.
  4. Validate with primary evidence. Inspect low, high, or surprising question scores, use timestamps to watch the relevant answer, compare the recording with the transcript and feedback, and investigate any cheating or proctoring signal.
  5. Resolve operational questions. Use Communication History to confirm outreach. Send reminders when a step is incomplete, request re-evaluation when analysis is incomplete, allow a retake only when a new attempt is justified, and apply overrides only after documented review.
  6. Record and communicate the decision. Add concise evidence-based notes, update the hiring stage, share the view-only report or PDF only with authorized reviewers, and keep the rationale tied to the role's documented requirements.
09Judgment

How to interpret scores responsibly

Scores are job-specific

Resume and interview scores reflect the criteria configured for that job. Do not compare scores across unrelated jobs as though they used the same rubric.

Score → reasoning → evidence

Use the score to locate an area worth reviewing, read the accompanying reasoning, then confirm it against the resume, application answer, transcript, or recording.

Screening is not a decision

Cleared or Failed indicates a screening result or override. The hiring stage is a separate recruiter decision.

Missing data is unknown

A blank section, missing resume, incomplete report, or unavailable recording is not a negative score. Resolve the missing information before drawing a conclusion.

Apply the same role-relevant evidence, escalation rules, and override process to every candidate. Document exceptions so the hiring team can audit the decision.

10Privacy

Sharing and privacy

Candidate Reports contain personal and potentially sensitive hiring information.

  • Use Share Report only for authorized reviewers.
  • Confirm who can open the link and whether it expires or can be revoked before sharing it.
  • A shared report is view-only, but recipients can still read its contents.
  • Use PDF options to exclude recording links or cheating indications when they are not required.
  • Do not forward resume links, interview links, application links, recordings, transcripts, or downloaded files beyond the approved hiring team.
  • Follow your organization's access, retention, and deletion policies.

Frequently asked questions

Is Re-evaluate Interview the same as Allow to Retake Interview?

No. Re-evaluate Interview analyzes the existing interview again. Allow to Retake Interview permits a new candidate attempt.

Does Cheating: Maybe mean the candidate cheated?

No. It means the available signal needs human review. Inspect the displayed reasons, timestamps, webcam or screen recording, transcript, and question evidence before confirming or clearing it.

Does a low Resume Score automatically mean I should reject the candidate?

No. Review the explanation, role criteria, original resume, and relevant work evidence. Use an override only when there is a documented reason.

Why can't I see the Interview Report tab?

The candidate may not have completed the interview, the report may still be processing, or the interview may not be enabled for that job. Check the state shown on the Interview page.

What should I do when the report says Incomplete Report?

Select Re-generate Report and wait for reprocessing to finish. Do not make a decision based on a section the page identifies as incomplete.

Why is a logistic question marked L instead of showing a score?

Logistic questions are not scored. The L distinguishes practical information from performance-based interview questions.

Can someone with a shared report link edit the candidate?

No. The shared report provides view-only access.

Why can't I see Transcript Insights?

The tab appears only when custom transcript analysis was configured and a valid result is available for the selected interview.

Why are some controls missing?

Actions depend on your permissions, account access, job configuration, and the candidate's current state. For example, a completed interview exposes different actions from an interview that is still awaiting the candidate.

Fabric uses role-based access control to give each team member the access they need. A workspace role sets the member's overall responsibilities; job-level access controls what they can do on particular jobs.

Note

The pages, jobs, and controls a person sees depend on both their workspace role and their access to individual jobs. When the two layers differ, treat the more restrictive permission as effective.

The dividing line is job ownership, not seniority: the two admin roles reach every job in the workspace, while the other three reach only the jobs someone assigns them to.
02Job access

Job-level access

When inviting a non-Admin team member, you can assign one or more jobs and choose an access level for each job.

The available access levels change with the selected workspace role. Fabric shows only valid choices in the invitation flow. Workspace-level restrictions, including compensation visibility, still apply when a job-level label appears broader.

Owner is an assignment available only to supported roles during applicable invitation flows. The existing-job collaborator control lists the access levels that can be granted there, which may not include Owner.

Access can also be granted per job after the fact, from Settings → Access on the job itself.

03Invite

Add one team member

You need access to the Team page to invite members.

  1. Open Team from the Fabric sidebar.
  2. Select Invite Member.
  3. Enter the person's Full Name and Email Address.
  4. Choose a role: Admin, Manager, Recruiter, or Panel, and review the description displayed for it.
  5. Select Next.
  6. For a non-Admin invite, choose the jobs the person should access and set the required access level for each.
  7. Send the invitation.

Admin invitations skip job selection. Every other role gets an explicit access level on each assigned job before the invitation goes out. Members join the workspace after accepting the emailed invitation.
Tip

Start with the lowest role and job access that lets the person complete their work. You can update an active member's role later.

04Bulk invite

Invite several members together

Use Bulk Invite when several people need to be added at once.

  1. Open Team and select Bulk Invite.
  2. Add each person's Name, Email, and Role.
  3. Continue to job assignment.
  4. Choose jobs and access levels for eligible non-Admin members.
  5. Review the batch and send the invitations.

Invited members receive an email with instructions to join. Invitations expire after 7 days.

Important

The bulk flow applies the selected job assignments to the eligible non-Admin invitees in that batch. If people need different job assignments, invite them in separate batches or use the single-member flow.

05Team page

Manage active members and pending invitations

The Team page separates active members from invitations that have not yet been accepted.

Active members

The active-member table shows each member's name and email, workspace role, and active or inactive status. Select a member to open Manage Team Member, where an authorized administrator can review the person's current role, change their role, or remove their workspace access.

Protected

You cannot manage your own account from your row. Admin-account management is also protected: only a Super Admin can access or modify another Admin account.

Pending invitations

For a pending invitation, open its action menu to Resend invitation, Copy invitation link, or Revoke invitation.

Use Resend if the original email was missed. Use Copy invitation link only when you can share it securely with the intended recipient. Revoke an invitation when the person should no longer be able to join.

06Checks

Recommended permission checks

Before sending an invitation, confirm:

  • The email address belongs to the intended person.
  • The workspace role matches their responsibilities.
  • They are assigned only to the jobs they need.
  • The job-access level is sufficient but not broader than necessary.
  • Panel users should not need access to compensation information.

Review workspace access when responsibilities change or when someone leaves the hiring team.

Candidate email and WhatsApp messages

Fabric can send candidates automatic email and WhatsApp messages as they move through the application and AI-interview journey. These communications help candidates complete required steps, remember scheduled interviews, and recover from a missed or failed attempt.

Note

This timing reference was reviewed on August 24, 2026. Timing and availability can vary by workspace configuration, candidate timezone, channel eligibility, consent, and status at send time. Confirm the current settings before relying on an automated sequence.

01Setup

Configure candidate notifications for a job

  1. Open the job and select Edit Job.
  2. Open Settings, then Candidate communication.
  3. Under Candidate Notifications, configure Email Invites for Scheduled Interviews and Interview Reminders.
  4. Select Save.
Email Invites for Scheduled Interviews

Sends email invites and reminders to candidates who have scheduled an interview. Starts off for a new job.

Interview Reminders

Sends WhatsApp and email reminders when a candidate does not take the interview. Starts on for a new job.

Review both settings before publishing or updating the job. When a notification setting is off, Fabric suppresses the corresponding automatic communication flow. These settings do not replace a recruiter's responsibility to review candidate communication and follow up when appropriate.

Both toggles live in Settings → Candidate communication, alongside the job variables used in email templates.

These timings summarize the standard automation reviewed above. Messages are rechecked before delivery, so a reminder may be skipped when it is no longer relevant.

03Reminders

Application and interview-start reminders

When a recruiter adds a candidate through a resume upload or CSV and the candidate clears the required screening checks, Fabric can send an email explaining that the candidate should continue, plus a WhatsApp message with the relevant Fabric link, normally about 5 minutes after they become eligible. A candidate who applies directly and clears the checks but has not continued to the AI interview receives the same pair about 15 minutes later.

If an eligible candidate still has not completed the AI interview, Fabric continues the sequence: email at 10:30 AM and WhatsApp at 7:00 PM on days 1, 2, 3, and 7.

Completing the application stops the remaining completion reminders. If the candidate is then eligible for the interview, the interview-reminder flow can take over.
04Incomplete

Incomplete-application reminders

For a bulk-added candidate whose resume is cleared but whose application is incomplete, Fabric can send completion reminders on days 1, 2, 3, and 7: email at 10:30 AM and WhatsApp at 7:00 PM.

These messages ask the candidate to finish the application rather than claiming that an interview is ready before the required application details have been completed. A direct applicant who starts but leaves before completing the application can receive a follow-up email on day 1 at 10:30 AM.

As soon as the candidate completes the application, the remaining completion reminders stop. If the candidate is then eligible for the interview, the interview-reminder flow can take over.

05Scheduled

Scheduled-interview communications

When a candidate schedules an AI interview, Fabric can send several time-sensitive communications.

When an interview is scheduled for a future morning before 11:00 AM, Fabric sends a WhatsApp reminder at 10:00 PM the night before.

30-minute reminder

Fabric sends email and WhatsApp reminders 30 minutes before, helping the candidate open the correct link and join on time.

If the candidate has reached the rescheduling limit, the email explains the next available route rather than promising another reschedule.

07Other

Failed attempts and stage emails

If Fabric records a web interview attempt as failed and the candidate needs a recovery route, it can send an immediate email and WhatsApp message. These messages guide the candidate back to the interview rather than treating the failed attempt as a completed evaluation.

A workspace can also connect a custom email template to a Panel Interview Stage. When a recruiter changes a candidate to that stage, Fabric sends the linked email if the candidate is still on that stage when the send is processed. The subject, body, links, and reply address come from the saved template. This automation is email-only.

08Suppression

When Fabric skips a message

An automatic message can be suppressed when:

  • the candidate has already completed the required application or interview step;
  • the candidate has been screened out of that flow;
  • the candidate rescheduled after a missed interview;
  • the interview link is no longer available;
  • the job or workspace is no longer accepting applications;
  • the job is inactive or incomplete;
  • the relevant Interview Reminders or Email Invites for Scheduled Interviews setting is off; or
  • the planned send time is no longer useful, such as a day-of reminder time that has already passed.

This prevents candidates from receiving reminders for steps they have already completed or can no longer take.

Review communication activity

There are two places to look, and they answer different questions.

One candidate

Communication History

Open the candidate's report and select Communication History. It lists every message sent to that candidate: the template name, whether it went by email or WhatsApp, the date and time, whether sending succeeded, and the error when it failed.

Many candidates

Analytics → Notifications

Use this for analysis across a job or period: compare channels, audit delivery, or export a list of failed messages. For one person's history, use the Candidate Report instead.

Email templates and stage automations

Email Templates lets you create reusable candidate emails and optionally connect one template to a Panel Interview Stage. When a candidate is moved to that stage, Fabric sends the linked email automatically.

Important

A stage-linked email is candidate-facing. Preview the message and confirm every inserted variable before connecting it to an active stage.

01Create

Create an email template

Open Email Templates from the Fabric sidebar. Use the template list on the left to search for or select an existing template, or select New Template to create one. Your workspace access determines whether this page and its controls are available.

  1. Select New Template.
  2. Enter a clear Template Name. This name helps your team find the template; candidates see the email subject and body.
  3. Enter the candidate-facing Subject.
  4. Add CC addresses if other recipients should receive a copy, separated by commas.
  5. Set Reply To to the address that should receive candidate replies.

Preview and save

Select Preview to check how the template reads with example values. Review:

  • candidate and company naming;
  • the subject line;
  • spacing and paragraph breaks;
  • every application or interview link;
  • CC and Reply To addresses; and
  • whether the message still makes sense if a candidate sees it only once.

Select Back to Editor to make changes, then Save Template.

04Stage link

Link a template to a stage

Use the Interview Stage field when an email should be sent as a candidate moves through the panel workflow.

  1. Open or create the template.
  2. Choose the required Interview Stage.
  3. Confirm the subject, body, variables, and reply address.
  4. Enable Send once if the candidate should not receive the same stage email more than once.
  5. Preview the email and select Save Template.
Stage link

If Fabric reports that a stage is already linked, review the existing template before replacing the association or choosing another stage.

Available values depend on the workspace configuration and can include scheduled rounds, Shortlisted, On Hold, Rejected, Offered, Joined, and assignment stages. Choose No Stage when the template should not send automatically from a stage change.

05Automation

How stage automation works

The stage is checked again when the send is processed, so a candidate who has already been moved on does not receive the email. Sent messages appear in the notification history.

The automation starts when a team member changes the candidate's Panel Interview Stage to the stage connected to the template. The template editor does not provide a custom timing or delay field for this automation; treat it as a stage-triggered send.

If Send once is enabled, repeated movement into the same stage does not send the same template to that candidate again.

06Manual

Use a template without stage automation

A template with No Stage remains available for supported manual email flows, such as selecting candidates and using Send Template Email. In the email window, select the required template, review the selected candidate group, confirm the message is appropriate for every recipient, and send.

Use stage automation for a predictable one-to-one stage transition. Use manual bulk email when the communication should go to a deliberately selected group instead.

07Checklist

Before activating a stage-linked template

Confirm that:

  • the chosen stage matches the action described in the email;
  • one template is not already connected to that stage;
  • the candidate-facing subject and body are complete;
  • all inserted job metadata values exist;
  • application, interview, assignment, and calendar links are the right type;
  • Send once matches the intended behavior; and
  • candidate replies go to a monitored address.
Tip

Test the template with a fictional candidate before using it in a live hiring workflow. Verify the rendered variables, links, recipients, and reply address.

The Analytics page brings workspace activity, screening and interview metrics, job-level reporting, and candidate communication history into one place.

Analytics reflects the jobs and information available to your account. The People filter is not shown to Recruiters; their view is already scoped to their permitted activity.

01Filters

Filter the Analytics page

The filters at the top apply across the metric cards, charts, job breakdown, and Notifications section.

People

Use People to select one or more workspace members. You can search by name and see each person's role and email.

  • Leave the selection clear to include everyone available to you.

  • Changing People clears any job selections that are no longer applicable.

Jobs

Use Jobs to select one or more jobs. Leave it clear to include all available jobs, select one job for a focused view, or select multiple jobs to compare them. Use the search box when the list is long.

Date range

Use Period to choose Current Month, Last Month, Current Quarter, Last Quarter, or Custom, selecting a start and end date and then choosing Done.

The default is Current Month. Changing the period refreshes the metrics, charts, job breakdown, and Notifications data.

Shareable

The selected filters are retained in the page URL, so they remain applied after a refresh and can be shared with another authorized Fabric user.

Use the cards to compare period activity. Do not calculate funnel conversion directly from cards whose events use different cohorts.

Important

Counts can describe different event moments. AI Interviews Conducted is based on interviews completed in the selected period, even when the application began earlier. A true conversion rate requires a cohort in which every stage starts from the same candidate population.

The charts

Application Status by Date

This chart plots application and screening activity over the selected period. Depending on the available data, its series can include total applications, resumes uploaded, resumes cleared, eligibility cleared, resume and eligibility cleared, AI interviews conducted, and AI interviews cleared. Use the legend to identify each line; the horizontal axis shows the date and the vertical axis the count.

Use it to identify changes in application volume, when screening throughput increased or slowed, gaps between candidates clearing screening and taking interviews, and spikes related to sourcing campaigns or bulk uploads.

AI Interviews Conducted

This chart plots completed interviews by date. Separate lines reflect interview data for the selected jobs and people. Use it to understand interview volume over time and compare activity across the available series. The horizontal axis shows Date; the vertical axis shows interviews per day.

Job breakdown

When the view contains multiple jobs, Analytics displays a job-level table. The table is hidden when the view is already limited to one job.

Columns cover Job (shown as Profile Name in some interfaces), Total Applications, Resume Uploaded, Resume Cleared, Eligibility Cleared, Resume & Eligibility Cleared, AI Interviews Conducted, AI Interviews Cleared, Interview Credits, Resume Credits, and Avg Interview Duration: the same measures as the metric cards, but one row per job.

The table supports column sorting and column menus. It displays 10 rows per page when more rows are available.

Notifications

The Notifications section shows candidate email and WhatsApp activity for the selected page filters.

Use Notifications to investigate failed communication, identify the template used, compare email and WhatsApp activity across a job or period, and understand which hiring team members are associated with the job. To check what was sent to one candidate, open Communication History on their report instead.

Use the Notifications export when you need a communication-delivery audit or a list of failed messages for follow-up.

Competencies

Competencies are the capabilities candidates need for the role.

At least one competency is required. Add each competency separately, then classify it:

Use only objective requirements that are necessary for the role and have been reviewed under your organization's hiring policy, such as:

  • A legally required license is missing or expired
  • A required safety or compliance certification is absent
  • The resume explicitly states the candidate is unavailable for a mandatory schedule or location requirement
Careful

Do not use employment gaps, job changes, school prestige, career trajectory, or protected-characteristic proxies as automatic rejection rules. Require a documented human review before moving a candidate to Rejected.

Turn on Additional Resume Screening Instructions when the standard sections do not fully express how resumes should be evaluated.

Use this area for role-specific instructions, exceptions, or context. These instructions supplement Competencies, Work Experience, Education, and Red Flags rather than replacing them.

Resume Skill Score Cutoff

Use Resume Skill Score Cutoff to set the minimum competency score a resume must achieve for automated screening.

  • The scale runs from 1 to 10.
  • Candidates below the selected cutoff do not clear automated resume screening.
  • The cutoff applies to the configured competency score, not the candidate's overall fit or final hiring stage.

A higher cutoff creates a stricter filter. Before increasing it, confirm that the Required and Preferred Competencies accurately represent the role and that candidates below it receive appropriate human review.

Configure an AI interview

The Interview Screening tab is where you create and configure the AI interview. It covers the interview format, Recruiter Persona, questions, scoring, and optional interview modules.

When creating the interview for the first time, start in Interview Format and Recruiter Persona.

Interview Format

Choose the format that best matches the hiring stage. The interface also displays the estimated credit usage for each format.

When the interview has already been created, the selected Recruiter Persona is also available from the collapsed interview settings header.

Advanced Settings

Expand Advanced Settings when you need to adjust the interviewer configuration beyond the standard persona choice. Options shown here can depend on your workspace configuration.

Create Interview

After choosing an Interview Format and Recruiter Persona, select Create Interview. Fabric prepares the interview configuration and opens the full set of interview controls. Later, use:

  • Apply Settings after changing the expanded format or persona configuration
  • Change Settings to reopen that configuration

Section Weightage

Section Weightage controls how much each enabled interview section contributes to the overall interview score.

Drag the section boundaries to adjust their relative weight. Use Reset if you want to return to the default distribution.

Give higher weight to the sections that best predict success in the role. The combined weightage represents the full interview score.

Question details and evaluation

Question controls vary by type. Depending on the selected question, you can configure details such as:

  • The competency or primary area being assessed
  • Question difficulty
  • Expected answer or evaluation guidance
  • Follow-up behavior
  • Supporting material used in the question
  • Estimated time

Evaluation Strictness

Use Evaluation Strictness to control how strictly Fabric evaluates the Skill Based Questions.

Choose a stricter setting only when the expected answer is well defined. For exploratory or senior-level questions with several valid approaches, avoid making the evaluation unnecessarily rigid.

Randomize questions

Turn on randomization for a question when you want Fabric to choose from a pool of similar questions for each candidate.

For Conversational questions, Fabric can generate related alternatives. For other question types, you can select alternatives from the Question Library. You can then choose how many questions from the pool should be asked.

Randomization helps reduce repetition across candidate interviews while keeping the assessment focused on the same competency.

The working arrangement for the role, such as full-time, part-time, contract, or another available employment type. It is required.

Work Mode

Identifies whether the role is remote, hybrid, onsite, or another available workplace arrangement. It is required.

Key Responsibilities describes what the successful candidate will do in the role.

Enable Interviews

Turn this off to stop candidates from taking interviews for the job. You can provide the message candidates see while interviews are disabled.

Maximum Interview Schedules

Set the maximum number of interview schedules allowed for a candidate.

Allow Interview on Phone

Allow candidates to join the interview from a mobile phone. Screen sharing is not available when candidates interview on their phones, so Fabric asks for confirmation before this is enabled.

Screen Resumes

Allow only candidates who clear resume screening to proceed to the interview. Enabling this option takes you to the Resume Screening configuration so that the screening criteria can be reviewed.

Collect Resume

Require candidates to submit a resume. This remains enabled when Screen Resumes is enabled because Fabric needs the resume to perform screening.

Enable MTI Analysis

Turn on Enable MTI Analysis to include a separate, unscored Mother Tongue Influence description. It does not affect the Communication Score.

Fairness

Enable and use MTI only after legal and fairness review. Never use accent or MTI as a proxy for nationality or ethnicity, or as a standalone hiring signal.

Add Collaborator

Search for a team member or group and assign an access level:

  • Viewer
  • Editor
  • Panel
